Poster Presenters

The Poster session will be held in Ballroom DE on Tuesday evening from 5:45 – 7:15 p.m. Wednesday morning, posters will be displayed in the foyer outside of the ballroom until they are taken down. The poster boards will be delivered onsite by the vendor at 9:00 a.m. Tuesday and removed on Wednesday at 3:00 p.m.

  • Poster boards will be 4' high x 6' wide (1.2m x 1.8m). You may wish to make your poster smaller to accommodate room for handouts.

  • Posters should be set up on Tuesday either at the morning break, lunch, or afternoon break in Ballroom DE.

  • To locate where you poster should be displayed, look for a sign marked with your session theme; specific poster numbers will not be assigned.

  • Presenters should be available for the first hour of the Poster Session.

  • Posters must be removed by the end of lunch on Wednesday. Posters remaining after 2:00 p.m. will be removed and recycled.

  • Pushpins will be provided.

Speakers

In order to ensure that sessions run smoothly and that we stay on-time with our agenda, your slides must be submitted to the ARCUS staff in advance, no later than 6:00 p.m. the day before your presentation. Due to the high number of speakers, we will have to keep to this deadline.

To Send Your Presentation Before the Meeting:
You can submit final slides (in Microsoft PowerPoint or Acrobat PDF format) at any point prior to the meeting in one of two ways:

  • Files less than 20MB can be emailed to aoosm [at] arcus.org.
  • Files of any size can be uploaded to the ARCUS file transfer site. Name your file with your last name, then go to http://www.arcus.org/ftp and follow these steps:
    • Click on the folder labeled ‘*AOOSM’
    • Click on the folder that corresponds to the day of your presentation
    • Click the ‘Upload File(s)’ button
    • Select your presentation file
    • Click the ‘Begin Upload’ button
  • When your upload is complete, please send an email notifying us to: aoosm [at] arcus.org

Submitting Your Presentation in Seattle:
Monday, 16 November
ARCUS staff will be available in the Ballroom Foyer (3rd Floor) or Cobalt room to collect your presentation 6:00 – 8:00pm, during early check-in.

Staff will generally be around the hotel Monday afternoon, so you can come to the third floor meeting rooms of the hotel and speak with an ARCUS staff person.

After the meeting starts on Tuesday, 17 November, a staff person will be available in the Cobalt Room to collect your presentation at the following times:

Tuesday, 17 November
- 12:30-1:15 p.m. (lunch)
- 3:00-3:15 p.m. (afternoon break)
- 5:30-6:00 p.m. (post-meeting)

Wednesday, 18 November
- 12:15-12:45 p.m. (lunch)
- 5:30-6:00 p.m. (post-meeting)

Audio/Visual Equipment
All oral session rooms will be equipped with a presentation computer (Macintosh), LCD projector, screen, presentation controller (with slide controls and laser pointer), and sound system. Hotel wireless internet will be available on the presentation computers. Should you have special A/V needs (such as playing a video) please contact us aoosm [at] arcus.org as soon as possible but no later than Sunday, 15 November 2015. We will do our best to accommodate.

Day of Presentation
Sessions will be held in five different rooms (one plenary and four parallel session rooms). Please make sure you know in advance where you need to be for your presentation. For parallel sessions, session Co-Chairs will introduce each speaker, during which ARCUS staff will open your presentation on the in-room computer and supply you with a microphone and presentation controller.
